What personal data we collect

When we carry out work and produce a certificate or report, we may collect:

• Your name
• The address of the property or installation
• Your email address and phone number
• Your signature, and the engineer's signature, on the certificate
• Certificate and inspection details — technical records of the electrical installation, test results, observations and any recommendations

Why we collect it and our lawful basis

We only use your information to do the job you have asked us to do and to meet our obligations. Our lawful bases under the UK GDPR are:

• Performance of a contract — to carry out the electrical work and issue the certificate or report you requested.
• Legal obligation and legitimate interests — to keep electrical safety records so we can comply with electrical safety standards, respond to queries about past work, and support our insurance and liability requirements.

Where your data is stored

Certificates are prepared on the engineer's device — this app runs offline and stores forms locally in the device's browser until they can be sent. Completed certificates are also stored in the company's Google Drive account. We take reasonable steps to keep this information secure.

Who we share it with

We do not sell your personal data or share it for marketing. We only share it where necessary to deliver our service:

• You, the customer — you receive your own certificate or report.
• Our service providers (processors) — such as Google (Google Drive, used to store certificates) and, where enabled, an email provider used to send certificates to you. These providers process data on our behalf under their own data-protection terms.
• Regulators, insurers or authorities — only where we are legally required to, or where it is necessary to protect safety or handle a claim.

How long we keep it

We keep your certificate and the related records for 5 years from the date the work is completed. We keep them for this period so that we can meet our electrical safety, insurance and liability obligations, and so we can answer any query about work we have carried out for you. When the 5 years are up and we no longer need the information, we securely delete or dispose of it.

Your rights

Under the UK GDPR you have the right to:

• Ask for a copy of the personal data we hold about you (access)
• Ask us to correct data that is wrong or incomplete (rectification)
• Ask us to delete your data where we no longer have a lawful reason to keep it (erasure — note that we may need to retain safety records to meet legal and insurance obligations)
• Object to, or ask us to restrict, how we use your data
